How many valet attendants do I need?

Crew size is an arrival-hour problem

A single valet attendant parks 12 cars during a busy arrival hour. That one number is the easiest way to estimate a crew size before you start asking for quotes. Work backward from it: guess how many cars arrive in your peak window, divide by 12, and you have an initial attendant count that you can justify to any operator. This guide makes that anchor a repeatable process, with every assumption called out so you can customize it for your event.

You're an event, wedding or private-event planner doing guest-count math, not running a valet company. You don't need to know how the operator schedules breaks or stages cars. You need a number you trust, a sense of when that number should grow and the confidence to read an operator's quote against your own estimate.

The error avoided by this advice is sizing the crew by the total guest count. A 300-person gala where arrivals are spread out over two hours is a simpler staffing challenge than a 120-person wedding where every car arrives in the half hour before the ceremony. Peak flow determines crew size, not the headline number on the invitation.

What you need

Collect these before you do the math. They all affect attendant count, and an operator will prompt you for them anyway.

  • Final or near-final guest count
  • The arrival and departure schedule (ceremony time, program start, expected end)

  • Venue layout and the distance from the drop-off to where cars are parked

  • Written quotes from 2 to 3 operators to compare against your own estimate

1. Start with the short answer

Within a relatively small range most events cluster around a very tight window once the guest count and type of event is known. The table below gives you a starting crew for a tight arrival. It is the number of cars that you want to hit inside one single busy window. Think of it as a first draft that you will hone in the following steps, not a hard and fast rule.

These figures rest on two assumptions. The first is that most of your guests will drive. The second is that cars will arrive within 10 to 15 minutes of one another and will park on premises within a five-minute walk of your drop-off area. Relax either of these assumptions and the number changes. Off-site or stacked parking, a long walk to the lot, or arrivals that are spread across two hours will all alter the calculation, which is why the next steps translate your unique event into a specific number rather than deferring to the table alone.

2. Convert guests to cars

Parking is for cars, not people, so the first substantive step is turning your headcount into a car count. Two assumptions do the work, and you should write both down so you can defend them later.

Two metrics to consider are guests per car and drive rate. Guests per car hovers around two for social events, since couples and pairs are arriving together. Corporate events tend to run leaner, around 1.3 to 1.5 per car since attendees are more likely to drive solo from the office. The drive rate is the share of guests who actually arrive in a car you park. In a walkable downtown, or a venue with a hotel block, a percentage of guests will rideshare or walk, so the drive rate might be 70 to 80 percent. At a suburban estate with no transit, expect 90 percent or more.

Put them together:

cars to park = guests x drive rate / guests per car

150 people at a suburban wedding venue = 150 x 0.9 / 2, or ~68 cars. 200 people at a downtown corporate offsite = 200 x 0.75 / 1.4, or ~107 cars. This is the estimated number of cars that is the input to everything that comes after. Turn a wedding into a downtown gala and the same number of guests yields a very different number of keys through the valet stand.

3. Find your peak arrival window

Total cars are irrelevant for crew size. Percentage of total cars arriving in your busiest period is what matters. A wedding lands most of its cars in the 30 to 40 minutes before ceremony, because no guest wants to walk in after the bride. A gala compresses around the seated program. A restaurant buyout spreads arrivals across a longer cocktail hour and is far easier to staff.

Simple enough. Take your car count from step 2, estimate what fraction arrives in the peak 40 minutes, express that on an hourly basis, then divide by 12, the number of cars one attendant parks in an arrival hour.

Schedule the 68-car wedding. If 70 percent of those cars, or about 48 of them, arrive in a 40-minute window, that’s a rate just under 72 cars per hour. Divide by 12 and you get 6 valet attendants needed to turn the curb queue to zero. Most planners hire one step down from there, 4 to 5 valet attendants, and allow a short queue where the last few arrivals wait 3-5 minutes. That’s a good trade-off for arrivals. It’s not such a good trade-off for departures, however, which is the next step in your calculation. If your arrivals are spread out over the full 90 minutes, the same 68 cars need only 2 to 3 valet attendants. 4. Solve the retrieval crunch

The end of the night is the more difficult problem, and it's where the bulk of valet complaints come from. Retrieval is a round trip. The attendant takes the ticket, walks or jogs to the car, drives it back, and hands it over. Each car eats more time than it took to park. Departures also bunch more than arrivals. When the band stops, or the program ends, half your guests want their keys in the same ten minutes.

Size the departure surge independently, not as an add-on to the arrival crew. Your goal is to keep guests waiting no more than 5 to 7 minutes through the peak departure period. If parking is a long distance from the terminal exit, or if cars are stacked and must be moved to access other cars, then car retrieval will be slower and you will need more people than for arrivals.

Three tactics shrink the wait without adding staff for the whole night:

  • Pull cars for guests who inform you they are leaving early so those keys never hit surge.
  • Position a batch of cars closer to the exit at the time scheduled to end.
  • Give the door staff a radio so a runner starts fetching the next car before the guest reaches the stand.

If the math is showing that your arrival crew cannot clear a hard departure in 5 to 7 minutes, do not release anyone early; instead, hold the extra attendant through the end of the push.

5. Add a supervisor or greeter when the crew grows

Parking attendants will not be enough when your crew grows to a certain size or your site becomes complex enough. The two roles answer two different problems. Recognizing when each one is earned helps your event keep rolling.

Add a supervisor when the crew reaches 4 or more attendants, or the guests exceed 150. The supervisor never parks cars in the surge. They operate the key cabinet, triage the guest with the lost ticket, coordinate breaks to prevent uncovered positions, and act as your single point of contact so you can greet rather than manage the curb. If you have less than 4 attendants, a lead attendant can perform this while parking as well.

Add a greeter, or traffic director, when space is tight or arrivals are front-loaded. The greeter never leaves the drop-off area. They keep the curb moving, open doors, distribute tickets, and prevent a single stalled car from backing traffic into the street. On a narrow driveway or shared entrance, the greeter is often the difference between a smooth arrival and a traffic jam.

Ask each operator to spell out these roles in the written scope of work before you sign.

6. Run the worked examples

The following three events illustrate the process from beginning to end. Each table reflects the same assumptions for steps 2 and 3, so you can plug in your own values.

The shortened pre-ceremony timeline pressures the crew, according to step 3. Staff 4 to 5 attendants, and take a 3 to 5 minute wait in line at the peak, and stash the full crew for after the reception departure rather than letting anyone go early.

The gala is a departure problem more than an arrival one. Most of the room departs all at once when the program ends, so having cars staged near the exit and a greeter keeping the curb moving matter more than raw attendant count. Size for the exit surge, then confirm the same crew can also absorb the arrival compression.

7. Read the gap between your math and the quote

Your estimate and an operator's crew number will almost never line up exactly. That is normal. Your technique uses clean assumptions; the operator prices in the gritty details of your site. Diagnosing the gap structurally, not reacting to a difference as a red flag, tells you if the quote is reasonable.

If an operator's number comes out larger than yours, inquire as to what site factor is driving it. Common responses are defensible: long walk to the lot; stacked parking that must be juggled; a runner position you did not anticipate; staff relief for an event spanning a long shift; or, a departure surge so hard that it will require more hands than implied by arrivals. A specific reason is good. Vagueness is not.

When their numbers get short of yours, question how they manage the exit rush and if arrivals bunch more tightly than expected. A confident operator takes you through the trade-off. If not, they may be understaffing to sharpen the quote, which reveals itself later as long waits.
